Office Manager Job Opening

Different Wrld is a creative venue. We are here to break down barriers of entry to the creative industry. We host all kinds of events from live music to clown shows, free art classes, and dance nights. We are a creative collective and a tight-knit crew that likes to have fun but knows how to get shit done.

The Office Manager keeps the binders labeled and the accounts and books flowing. They do our weekly bank drop and money reporting, run errands, and support the House Manager and Events manager. The Office Manager keeps the paperwork, receipts, employee handbook, and accounting books organized. 

This is a good fit for someone who is:

  • Super organized, color coded, likes office supplies and spreadsheets
  • A numbers person, good with bookkeeping 
  • A great communicator and skilled in non-violent, secure communication 
  • Self-directed and is ok with working by themselves 
  • Wants to be behind the curtain of a vibrant scene

The Office Manager keeps the crew and managers accountable for all the fine print and details that pass through the space. They are often behind the scenes but integral to the crew and daily operations. There is the option to pick up Night Lead / Door / Bar shifts as desired for additional hours but is not required. 

Job Responsibilities

Weekly

  • Payroll run weekly through Homebase [by Monday, can be done from home Th-M] 
  • Artist Payout: cuts checks and sends reports to Events Manager [by Tuesday]
  • Weekly money reporting & bank drop [by Tuesday]
    • Record all money reports into spreadsheet and send to managers
    • Go to bank and drop cash, make change for cashbox  
    • Keep track of all reports and deposits for monthly bookkeeping 
  • Weekly Stocking and vendor management thru Amazon, Sam’s, Lonely Hearts, etc. w/ support from Bar Manager and Cleaning person [by Tuesday]
  • Weekly errands, place and pick up orders from Sam’s Club, drop off and pick up bar laundry  [by Tuesday / Wednesday]
  • Weekly core crew meeting   [Tuesday] 

Operations / Financial 

    • Manage billing accounts via office@ email
      • Paying invoices to vendors, Holston, MFG, Lonely, etc. 
      • Support Bar Manager in ordering / other accts management 
  • Manage supporting partnerships and gifts 
    • Monitor support@ email and update gifts at customers request
    • Print Angel Pass list monthly 
  • Monthly finance meeting w/ bookkeeper + owner
  • Monthly bookkeeping: categorization of revenue + expenses in Quickbooks 
  • Grant reporting + application support: provide financials as needed
  • Coordinate w/ management for spending + cashflow reporting 
  • Supports Bar Manager w/ yearly bar reporting 
  • Supports CEO in maintaining status of ABC license, City of Asheville privilege licenses, other licensure and insurance

Staffing + HR

  • Scheduling support: supports House Manager w/ scheduling and staff communication if House Manager is out / on vacation 
  • Hiring / Onboarding
    • Create job descriptions and listings on website
    • Review resumes and interview candidates
    • Make job offers, onboard new employees
  • Human Resources
    • Handles HR for employee transitions and reprimands 
    • Support owners and managers in communicating w/ crew and community around difficult situations needing deescalation or non-violent communication and mediation 
  • Supports house manager with training employees 
  • Support house manager to maintain employee handbook, create onboarding documents and support crew in upholding our values 

This is not a comprehensive list and due to the nature of this role and our industry you may be asked to fill in other roles as needed and applicable. 

Hours & Compensation

  • $17.50 / hour starting \\ flexible pay depending on experience 
  • 8-16 hours / week starting \\ can pick up service shifts for more hours if desired
  • Hybrid remote / flexible, some hours in house required weekly 
  • Availability on Monday / Tuesdays preferred 
  • Please provide your own laptop / computer if possible 
  • Must have reliable transportation
